Rental Terms & Conditions
RENTAL AGREEMENT:
Checking the box "I HAVE READ AND AGREE TO ABIDE BY THE RENTAL TERMS & CONDITIONS" constitutes a SIGNED RENTAL AGREEMENT. You are hereby liable and will be held accountable for any and all conditions, requirements, and special instructions pertaining to the RENTAL TERMS & CONDITIONS in this RENTAL AGREEMENT. It is VERY IMPORTANT that the person SIGNING the RENTAL AGREEMENT, make sure all other individuals helping with your event understand and ABIDE by the TERMS & CONDITIONS of the RENTAL AGREEMENT from the time of Pick-up to the time of Return.
ONCE YOU CLICK "PLACE ORDER" YOU WILL HAVE 24 HOURS TO PAY YOUR DOWNPAYMENT TO RESERVE YOUR SELECTED RENTAL ITEMS FOR YOUR EVENT DATE. AFTER THE 24 HOURS HAVE PASSED AND THE DOWN PAYMENT HAS NOT BEEN RECEIVED, YOUR ORDER WILL BE CANCELLED!
RENTAL PERIOD:
The normal RENTAL PERIOD is 4 CALENDAR DAYS. Extended rental periods may be possible depending on item availability. A 25% CHARGE per item will AUTOMATICALLY be APPLIED per EXTRA calendar DAY exceeding the regular 4 calendar DAYS RENTAL PERIOD.
PAYMENT SCHEDULE:
- DOWNPAYMENT: immediately required (50% the total rental charge or full payment for orders that the rental charge is under/less than $125.00 CAD)
- SECURITY DEPOSIT: 14 days prior to the 1st day of your 4 days rental period.
- REMAINING BALANCE: 14 days prior to the 1st day of your 4 days rental period.
PAYMENT DESCRIPTIONS:
DOWNPAYMENT: 50% of the TOTAL RENTAL CHARGE or FULL PAYMENT if your order is UNDER $125.00 CAD is IMMEDIATELY REQUIRED to secure your selected rental items for your event date, payable via E-TRANSFER: charminglyrusticevents@gmail.com. Any DOWNPAYMENT PAID will constitute an agreement and acceptance of Rental Terms & Conditions. Until such a DOWNPAYMENT is made, Charmingly Rustic Events - Decor Rentals reserves the right to continue to seek out other potential renters, putting your selected rental items at risk of being rented by other clients. The DOWNPAYMENT to RESERVE your items is NON-REFUNDABLE, as this secures your reservation of an item for you and prevents Charmingly Rustic Events - Decor Rentals from renting that item to any other client during your 4 calendar days rental period.
REFUNDABLE SECURITY DEPOSIT: All clients are REQUIRED to PAY A MINIMUM $100.00 CAD SECURITY DEPOSIT regardless of your total rental charge or 50% of your TOTAL RENTAL CHARGE if the rental charge is $200.00 CAD or grater, is REQUIRED 14 DAYS PRIOR to your EVENT DATE, payable via E-TRANSFER: charminglyrusticevents@gmail.com. The SECURITY DEPOSIT is a SEPARATE PAYMENT from the Rental Charge Payment and the Downpayment. The SECURITY DEPOSIT will be held to cover the cost of any DAMAGES incurred to the rental items while in your care. Once all ITEMS are RETURNED safely and WITHOUT any DAMAGES, the SECURITY DEPOSIT will be REFUNDED to you in full via e-transfer within the next business day, AFTER the RETURN of ALL ITEMS at the END of your RENTAL PERIOD. A CHARGE of $25.00 CAD will be assessed for EACH DAMAGED ITEM or FULL COST of REPLACEMENT for LOST items or items DAMAGED BEYOND REPAIR. This includes damaged or missing storage bins/boxes. A $1.00 CAD charge will be assessed for EACH protective packaging provided such as bubble wrap, and plastic coverings which are DAMAGED beyond use or unreturned. A $10.00 charge will be assessed for an UNRETURNED TARP or for ITEMS dropped off and left outside UNCOVERED by the TARP provided.
REMAINING BALANCE: The REMAINING BALANCE of your TOTAL RENTAL CHARGE must be PAID in FULL 14 DAYS PRIOR to your EVENT DATE, payable via E-TRANSFER: charminglyrusticevents@gmail.com.
AN EMAIL REMINDER WILL BE SENT OUT A COUPLE OF DAYS PRIOR TO THE PAYMENT DUE DATE.
We function primarily as a self-pickup and self-return. Meaning clients pick-up/load-up and return their selected rental items themselves, using their own transportation without any assistance form us.
SELF PICK-UP
Your selected RENTAL ITEMS will be securely packed and READY for your SELF PICK-UP as of 8:00 AM to 8:00 PM on the FIRST DAY of your 4 calendar DAYS RENTAL PERIOD.
You may come to PICK-UP your items at your DESIRED TIME (ANY TIME) AFTER 8:00 AM and BEFORE 8:00 PM.
Your selected rental items will be placed outside, covered with a large tarp. You may take the tarp with you upon picking up your items or, you may leave the tarp behind. Should you take the tarp with you, you MUST RETURN the TARP and COVER all your rental items with it upon dropping them off. A $10.00 charge will be assessed for an unreturned tarp.
SELF RETURN
Your SELF RETURN of ALL RENTAL ITEMS is due on the LAST DAY, the 4th calendar day of your 4 DAYS RENTAL PERIOD BEFORE 8:00 PM.
Please DROP OFF ALL your RENTAL ITEMS and leave them outside in the very SAME AREA you picked them up, at your desired time, BEFORE 8:00 PM.
YOU, the client takes full RESPONSIBILITY for RETURNING ALL your RENTAL ITEMS in the SAME CONDITION as they were RECEIVED.
All rental items MUST be COVERED with a TARP upon returning them. A $10.00 charge will be assessed for leaving the rental items uncovered or for an unreturned tarp. (If you left the tarp behind, it will placed outside in the drop-off area on your items return date).
ITEMS ACCOUNTABILITY
A PRINTED ITEMISED LIST with an IMAGE of each rental item will be placed in one of the bins/boxes. It is the CLIENT’S RESPONSIBILITY to CHECK this LIST when loading up the rental items to ensure that ALL RENTAL ITEMS ARE ACCOUNTED FOR AT YOUR RETURN DROP-OFF.
ITEMS SUBSTITUTIONS
We will make every attempt to have available the items you have selected; however, due to unforeseen circumstances, such as breakage or lost items, we reserve the right to make substitutions to a similar item of equal quality and value. We will notify clients of any circumstantial item substitutions.
CANCELLATIONS / REFUNDS
The DOWNPAYMENT to RESERVE your items is NON-REFUNDABLE, as this secures your reservation of an item for you and prevents Charmingly Rustic Events - Decor Rentals from renting that item to any other client during your 4 calendar days rental period. We will ALLOW CANCELLATION in the FIRST 24 HOURS after the DOWNPAYMENT has been received. AFTER the 24 HOURS have passed, if you wish to cancel items, we can accommodate the CANCELLATION UPTO 2 WEEKS (14 days) prior to your event date. Unfortunately, you will LOSE your DOWNPAYMENT upon the cancellation of these items. Meaning, we will retain your original DOWNPAYMENT for each of the cancelled items upon the cancellation of these items. Please review your rental items carefully for once items are agreed upon, they cannot be canceled or refunded.
There will be no refunds or credit issued for cancellations of events, inclement weather, or for any items that have been reserved but unused or not picked up.
CLIENT CARE OF RENTAL ITEMS
RENTAL ITEM remains the RESPONSIBILITY of the CLIENT from the time of CLIENT PICKUP to the time of THE ITEMS are RETURNED to us. Items are to be used for their intended purposes with normal wear and protected from damage due to neglect, abuse, or misuse.
REAL FLAME CANDLES: The use of REAL FLAME CANDLES is NOT PERMITTED with any of our rental items. This includes the rental of candle votives, lanterns, etc. If any of our rental items are returned with burns or smelling like smoke, the FULL REPLACEMENT COST for each damaged item will be assessed.
LADDERS: WOOD LADDERS are for DECORATION purposes ONLY and not to be used as functional step ladders. Renters accept the risk and all liability of damage and/or injury for any and all occurrences while items are in your care, custody, and control.
STORAGE: STORE all ITEMS in an area protected from theft, vandalism, and weather.
LINENS: are NOT to be LAUNDERED by the CLIENT. SHAKE LINENS free of debris, food, confetti, etc., and PLACE in the CLEAR plastic BAGS it was received in. Do not place linen in trash bags that could be mistaken for garbage. If the LINENS are WET or DAMP, lay them out to dry, DO NOT PLACE WET or DAMP LINENS into the clear BAG as this will cause mold to grow in a matter of hours and destroy the linen. If linens are heavily soiled, stained, or have been damaged during the event, a replacement charge of $25.00 CAD will be assessed for each damaged linen. Please note we do not provide table linens such as tablecloths or napkins. You will need to make separate arrangements with your caterer or venue for these items. WE do SUPPLY a few decoration lines such as DRAPERY which can be used as BACKDROPS, some TABLE RUNNERS, a small selection of CHAIR SASHES, along with a few other decorative lines.
GLASSWARE: EMPTY GLASSWARE of all liquids and foods. RINSE and WIPE them DRY, and REMOVE candles and other accessories before securely placing them in the bins for transportation.
BUBBLE WRAPPING FRAGILE / DELICATE ITEMS: We take the time and precision to wrap all our FRAGILE / DELICATE ITEMS such as: Glassware, Ceramics, Acrylics, Mason Jars, Bottles, Vases, Drink Dispensers, Glass "card" Boxes, etc. in BUBBLE WRAP. We'd GREATLY APPRECIATE these items packed and returned SECURELY PROTECTED in the same BUBBLE WRAP provided. Thank you kindly!
FLOWERS / FLORAL ARRANGEMENTS
Please note that we do not provide any floral arrangements other than some artificial vines and a few other display florals which may be added to your rental items. You will need to consult with a florist for all your other Floral arrangements needs such as centerpieces, etc.
OUTDOOR EVENT
If you are holding your EVENT OUTDOORS or a private venue where you will not be cleaning up until the following day, ALL RENTAL ITEMS MUST BE MOVED INDOORS or to a COVERED AREA OVERNIGHT to prevent damages from rain or humidity. RENTAL ITEMS MUST NOT be kept OUTSIDE in the elements OVERNIGHT. A CHARGE of $25.00 CAD will be assessed for each DAMAGED ITEM or FULL COST of REPLACEMENT for LOST items or items DAMAGED BEYOND REPAIR.
ITEMS INSPECTION
ALL ITEMS will be THOROUGHLY INSPECTED upon return.
DAMAGE CHARGES
A CHARGE of $25.00 CAD will be assessed for EACH DAMAGED ITEM or FULL COST of REPLACEMENT for LOST items or items DAMAGED BEYOND REPAIR. This includes damaged or missing storage bins/boxes. A $1.00 CAD charge will be assessed for EACH protective packaging provided such as bubble wrap, and plastic coverings and/or bags) which are DAMAGED beyond use or unreturned. A $10.00 charge will be assessed for an UNRETURNED TARP or for ITEMS dropped off and left outside UNCOVERED by the TARP provided.
LATE FEES
If the rental items are not returned on the agreed-upon date and time, a fee of 25% of your total rental charge will AUTOMATICALLY be assessed per day late.
LIABILITY RELEASE
The client agrees that Charmingly Rustic Events - Decor Rentals holds no liability for any damage or injury caused by the use of our rental items to the renter or to any third party. The client assumes all risks of personal property damage or personal injury.
PHOTOGRAPHY RELEASE
The client agrees to grant permission to Charmingly Rustic Events - Decor Rentals to use photos of our rentals taken at your event to be posted on our websites, social media sites, advertisements, etc. You are also permitted to post photos of our rental items on such sites with the understanding that you will not profit from the images or items in any way.
